Position
Summary:
The Executive Assistant works independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
This position handles the day-to-day functions of the office, manages schedules, coordinates meetings, supports the executive team, finance department and human resources team with processes, projects, and tasks.
Compliance with rules and regulations of all applicable federal, state, and local laws as well as ruralMED policies is a condition of employment.

High School Diploma is required 2.
2 or more years of related experience preferred 3.
Two-year degree in business administration, business technology, or related discipline preferred.

The requirements listed below are representative of the knowledge, skill, and / or ability required:
Administration Support:
Answers phone and directs call to appropriate staff; receives, routes, and directs customers into the department.
Keeps the office environment in a neat and professional state and handles any office needs.
Perform various clerical and administrative functions, such as ordering and maintaining an inventory of supplies, picking up and distributing mail to locations, and running errands.
Assist in pickup and delivery of mail to locations.
Completes a broad variety of administrative tasks for the Executive Team including managing extremely active calendars of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Assists with the planning and coordination of the Executive Team's schedules and aiding to make sure the schedules are followed and respected.
Provides gatekeeper and gateway roles, creating win-win situations for direct access to the Executive Team's time and offices.
Communicates directly, and on behalf of the Executive Team, with Nebraska Provider Alliance, LLC Board members, ruralMED Health Cooperative Board Members, and others, on matters related to programmatic initiatives.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Team, including those of a sensitive or confidential nature.
Determines appropriate course of action, referral, or response.
Provides a bridge for smooth communication between the Executive Team and internal departments; demonstrating leadership to maintain credibility, trust, and support.
Works closely and effectively with the Leadership Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
Acts as a barometer, having a sense for the issues taking place in the environment and keeping the Leadership Team updated.
Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the executive team, some of which may have organizational impact.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Executive Team's ability to effectively lead the company.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Assists with the creation, review, coordination and management of operational documentation including but not limited to contracts, policies, memos, and legal documents.
Provides support for the creation, implementation and coordination of employee engagement and leadership development initiatives.
Other duties as assigned to support the needs of the Executive team.
Board Support and Liaison:
Serves as the administrative liaison to ruralMED's Board of Directors and ruralMED's Health Cooperative Board of Directors.
Assists board members with travel arrangements, lodging, and meal planning as needed.
Maintains discretion and confidentiality in relationships with all board members.
Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
Finance Support:
Oversee credit card transactions, approve, and maintain records.
Assist employees as needed with credit cards.
Uploads/track daily deposits to proper bank account.
Assists Finance Team with Accounts Payable, including entering invoices Compiles and sorts documents, such as invoices and checks.
Manages/maintains records on ruralMED vehicles/drivers.

The check will bounce and the victim is left responsible.
